Regulations

These are the Rules and Regulations for the Wrota Chałubińskiego, hereinafter referred to as the Facility.

The owner thereof is Wrota Chałubińskiego Sp. z o o. having its seat in Ostrów, Poland, ul. Sądowa 6/3, 63-400 Ostrów Wielkopolski, Poland, NIP (Tax Identification Number): PL 6222837316, REGON (National Business Registry Number): PL 389958575.
The person checking into the Facility is hereinafter referred to as the Guest.
The person booking a stay at the Facility and making payment due thereRegulationsafter referred to as the Booking Person.


I. Basic information:

  1. By booking a stay, the Guest hereby confirms that they have made themselves acquainted with the Rules and Regulations, accept provisions thereof and oblige to abide by them absolutely as well as that they have read and accepted the Privacy Policy.
  2. The Guests staying at the Facility are obliged to comply with the occupational health and safety as well as fire safety regulations and in emergency situations, to follow the instructions issued by the Facility staff.
  3. If the Guest violates the provisions of these Rules and Regulations, the Facility may refuse to provide any further services to the Guest in question. Such a Guest is then obliged to comply with the requests of the Facility staff, make the payment due for any services provided thus far as well as for any damage caused and finally to leave the Facility premises without delay.
  4. The Booking Person gives their consent for their personal data to be processed only and exclusively for the booking and check-in purposes as results from the Act of 29 August 1997 on the Protection of Personal Data. The Booking Person has the right to access and update their personal data.
  5. Bookings are made either for a natural person or for a company paying for the stay.
  6. Non-residents are not entitled to use the Facility. The Guest may not hand their room over to third parties, even if the period for which they made the payment due has not expired yet.
  7. For fire safety reasons, using open fire at the Facility and on the premises thereof as well as using irons, heaters and other items which are not elements of the room equipment is prohibited. However, it does not refer to chargers and power suppliers for audiovisual and computer devices.
  8. The Guest bears full material and legal liability for any damage to or destruction of any items, equipment elements or devices caused either by them or by their visitors. The basis for the financial compensation for the damage or destruction caused is the price list available for inspection at the Facility reception, a bill documenting the actual cost of removing the damage or an expert valuation.
  9. The Guest is obliged to make reimbursement of the expenses incurred in connection with the damage caused.
  10. If the Guests find any discrepancies between the inventory of the equipment and the actual condition of the apartment or if there are any damages found, they are obliged to notify the reception about this fact directly after having entered the apartment. Otherwise, it is assumed that the equipment was complete and undamaged.
  11. The Guests are obliged to use the devices belonging to the Facility in a way which does not affect their condition and efficiency.
  12. The liability of the Facility for the loss of or damage to the items brought into the Facility by the Guests is governed by the provisions of Articles 846-849 of the Polish Civil Code. The liability borne by the Facility is limited if such items are not deposited at the reception. The Facility may refuse to accept storing money, securities and valuables, especially those of scientific or artistic significance if these items are dangerous or have too high a value in relation to their size or standard or if they take up too much space.
  13. Once the stay has expired, the Guest is obliged to notify the Facility about their departure so that the keys to the apartment can be collected.
  14. The hotel day starts at 3:00 pm and ends at 11:00 am.
  15. The quiet hours last from 10:00 pm to 6:00 am.
  16. During the quiet hours, the Facility Users are prohibited from disturbing the peaceful stay of other Guests. During the day, their behaviour must comply with the social norms and respect the right of the other Guests for rest and relaxation.
  17. The non-resident Guests may stay at the Facility from 7:00 am to 10:00 pm.
  18. If non-residents stay at the Facility after 10:00 pm, the Booking Person accepts thereby the fact that these persons shall be checked into their room for a charge. The charge shall result from the hotel price list available for inspection at the reception or on the website of the Facility.
  19. The Facility does not accept pets.
  20. Children and minors under the age of 18 years are only accommodated if accompanied by adults who bear full liability for their wards’ behaviour as well as for any situations that the wards in question may cause on the premises of the Facility.
  21. The Facility may refuse to provide services to a person being under a visible influence of alcohol or intoxicants or behaving in a vulgar manner.

II. Extra charges:

  1. The stay price does not include the visitor’s tax, charged at the check-in and transferred to the account of the commune, as well as other possible extra charges.
  2. The amount due for the stay and the visitor’s tax amounting to PLN 2 / person / hotel day is charged on the day of arrival, at the check-in.
  3. Children under the age of 2 years are accommodated free of charge. Baby cribs with bedding are available on the spot, free of charge.
  4. At your disposal, there is a car park available. Every apartment has one parking space assigned. Please book your parking space in advance.
  5. Credit cards are accepted.

III. Down payment:

  1. Bookings are only valid if confirmed by a down payment.
  2. By making a down payment, the Booking Person declares that they have accepted the booking policy laid down in these Rules and Regulations.
  3. You may cancel free of charge until 14 day before arrival.
  4. If the Booking Person fails to make the down payment by the agreed date, their booking shall be cancelled.

IV. Cancellation:

  1. You may cancel free of charge until 14 day before arrival. After this time, the guest will be charged  total reservation cost.
  2. The Guest may not claim refund if they fail to use the whole stay defined in the booking.

VI. Complaints policy:

  1. The Guests have the right to lodge complaints regarding the services provided by the Facility.
  2. Only complaints sent by e-mail to the following address will be considered: wrota18@gmail.com. The Facility shall respond to them within 14 days of the Guest’s departure or, if the stay did not take place within the time period defined in the booking – within 14 days of the date when the stay was scheduled to take place.
  3. The Facility reserves the right to consider a complaint within 14 days. And within this time period, the Guest shall be informed about the result of the complaint.

VII. Additional information:

  1. The SPA Zone is open every day from 4:00 pm to 9:00 pm.
  2. Cleaning the apartment during the Guest’s stay is available on request for an extra charge.
  3. All throughout the Facility, there is free WiFi available.
  4. On the premises of the entire Facility, both indoors and outdoors, there is a total smoking ban in force, except for the appointed area outside the building.
  5. For violating the ban, a contractual penalty amounting to PLN 500 shall be charged by the Facility.
